Roles Description
The Administrative Assistant at Genesis Tech Engineers is responsible for providing administrative support to ensure the efficient operation of the office. This role is essential in assisting with daily tasks, maintaining organizational systems, and facilitating effective communication within the company.
Responsibilities
- Front Desk Operations: Serve as the first point of contact for visitors, clients, and employees, providing a welcoming and professional atmosphere.
- Calendar Management: Schedule and manage appointments, meetings, and conference calls for executives and team members.
- Communication: Handle incoming and outgoing emails, phone calls, and correspondence, routing them to the appropriate individuals.
- Office Organization: Maintain office supplies, equipment, and ensure the office environment is tidy and organized.
- Data Entry: Assist with data entry tasks, including updating databases and filing systems.
- Document Preparation: Create and edit documents, presentations, and reports using software tools like Microsoft Office.
- Meeting Support: Coordinate and prepare materials for meetings, take meeting minutes, and follow up on action items.
- Travel Arrangements: Assist in booking travel arrangements, including flights, hotels, and transportation.
- Supporting Teams: Provide administrative support to various departments as needed.
- Visitor and Guest Coordination: Arrange visitor access and provide support as needed for meetings and events.
- Administrative Projects: Assist in special projects and tasks as directed by management.
Qualifications
- High school diploma or equivalent; additional education or certification in office administration is a plus.
- Proven experience as an Administrative Assistant or in a similar role.
- Proficiency in office software applications, including Microsoft Office (Word, Excel, PowerPoint).
- Strong organizational and multitasking skills, with a keen eye for detail.
- Excellent communication and interpersonal skills, both written and verbal.
- Proactive and able to work independently, as well as collaboratively in a team.
- Professional and courteous demeanor in all interactions.
